External Hire of Venues and Facilities

External organisations are able to hire any of the 170+ centrally controlled teaching spaces located on UQ's 3 main campuses and the PACE site, dependent on availability. To view the range of available locations conduct a central location search via the homepage.

A valid certificate of currency for public liability to insure a minimum sum of $20,000,000 (AUD) must be included as part of the application for hire.

Should an external client wish to hire additional furniture this is done at the clients expense and only through a third party provider such as Valiant Hire

Timetabled classes will take priority over all event bookings.  Bookings made by University Organisations will take priority over external bookings.

The University reserves the right to cancel or amend any booking.

Whilst Teaching Space Management is not a conference centre, if you are considering running a conference or event, UQ has great facilities that will enhance your attendee experience.

Not all teaching spaces however are ideal for such activities, so we’ve handpicked the best, with consideration to other break out spaces, and/or appropriate catering areas.  Visit our conference information page to find out more.

Please note:  UQ has a strict policy of no catering within teaching spaces or in surrounding corridors and/or thoroughfares.

UQs hire charges apply to 1) all external clients and 2) registered student groups wishing to hold additional club events . Venue hire is charged per hour and is inclusive of GST. Different room types and their capacities will attract a specific cost.

Student Clubs & Organisations

Student Clubs & Organisations

Registered student clubs and organisations may request centrally controlled teaching spaces during semesters for group events and meetings.

General Club Activites

Each Club/Society registered with the UQ Union is afforded a maximum of 15 general club bookings of a maximum of 4 hours duration each Semester during the hours of 8am to 10pm Monday to Friday. 1 room booked = 1 booking.

Rooms are subject to availability and rooms will be allocated according to the size of the club membership (or a smaller capacity if requested).

Rooms include UQ Union Heath, Holt and Innes Rooms, as well as any centrally controlled teaching spaces which can be viewed via the ‘Central Teaching Room Search’ on the Teaching Space Management Website.

The President or Secretary of the club/society is required to email their general club booking requests to the Clubs Administration Assistant - clubs@uqu.com.au by dates specified by the UQ Union.

Important Information:

  • Booking requests for general club activity must be received by the specified dates
  • General club bookings are not to be used for events (see Student Events section)
  • The requested day/time/location and duration must be consistent week to week and once confirmed will not usually be changed due to the availability of rooms for other UQ activity
  • Presidents/Secretaries – must use their UQ email address to submit booking requests
  • Groups may request dates prior to semester commencement and/or on weekends which will be considered on a case by case basis
  • Catering or any food or drink (with the exception of water) is strictly prohibited in teaching spaces.
  • This process excludes any booking of outdoor space.
  • Student groups are bound by the terms of hire
  • Bookings are subject to change at the discretion of the University
  • All correspondence must be made via clubs@uqu.com.au

Student Event Bookings

Student Clubs/Societies may request to hold additional events at UQ facilities which under normal circumstances will incur a 50% discounted room hire charge associated with the current room hire charges for central teaching space.

If the event is not associated with the club/society and/or is not endorsed by the UQ Union and the University, 100% room hire charges will apply and the group required to provide public liability insurance to the value of $20 Million (AU).

The President or Secretary of the club/society must email additional event requests to the Clubs Administration Assistant – clubs@uqu.com.au with at least 6-8 weeks’ notice prior to the date of the event.

As well as general room requirements, additional information required includes:

  • Whether the event a conference, exhibition or awards ceremony
  • Whether any VIP’s will be in attendance
  • Whether there will be catering (not located within teaching rooms)
  • Whether there will be any alcohol present

Fee waiver considerations may be afforded if the Union or other UQ School or Faculty is prepared to cover the costs for the group.  All enquiries about this should be directed to the relevant area.

What is the difference?

A general club activity is usually a consistent weekly session (of up to 4hrs duration) congruent to the expected activities of the club and restricted to valid club members only.

An event is open to more than the club members, has a purpose that is beyond general club business, can involve guest speakers, attendance fees, catering, more than one location, or a larger location and is often a longer duration of time.

General club activities will not be used to hold events.

UQ staff are able to request central teaching rooms dependant on availability of space and the development of the academic timetable. Staff can also book meeting rooms located on the St Lucia Campus.

All requests for bookings are to be submitted via the Web Room Booking System.  For general room booking enquiries email roombookings@uq.edu.au or call extension 60775.  Requests for central teaching rooms during teaching weeks may only be considered once the production of the academic timetable is finalised.  Timetabled activities take priority over all other events.  View the list of available booking dates prior to placing your request.

Hire of Additional Furniture & Equipment

Third party providers can supply additional furniture and/or equipment for a confirmed booking

UQ does not provide additional furniture or equipment for centrally controlled teaching spaces.  Event organisers are able to organise additional furniture or equipment through third party providers such as Valiant Hire.  It is important that appropriate set up and pack down times are incorporated into your booking should additional furniture/equipment be necessary.  All additional materials must be removed at the conclusion of any event.  UQ takes no responsibility for hired equipment left in a teaching space after the conclusion of an event.

There are a number of outdoor areas that can be booked for events on the St Lucia Campus through the Security Division.

The following outdoor locations are able to be booked via Property & Facilities Security Division by emailing a request to seo@pf.uq.edu.au

  • Alumni Court  (between Goddard (8) and Parnell (7) Buildings)
  • Natural Amphitheatre (between Building 41 and UQ Lakes)
  • Forgan Smith Lawn (between Art Museum (11) and Social Sciences Library (12))

Whilst there are a variety of centrally controlled teaching spaces, availability of space may be limited. Alternative venues not operated centrally may be available to suit your requirements.

The hire of teaching space includes access to audio visual equipment available in the room. Audio Visual Services provides assistance with additional requirements in centrally controlled teaching spaces.

Teaching Space Management does not provide catering for teaching spaces, however catering can be provided by contacting one of UQs many external providers.

Food and Drink is not to be consumed within any centrally controlled teaching rooms. Catering is not provided by Teaching Space Management (this includes tea and coffee), please find links to a selection of on-campus catering providers below. The placement of catering is often determined by the venue hired, which may require some consideration due to availability of appropriate foyer space.
