Computer Purchasing Policy
 
Hardware
 
Dell, HP and Apple are the University of Queensland “Preferred Suppliers”. UQ encourages the purchase of hardware through these three suppliers.
 
Purchasing Formula
The School has agreed to buy computers for staff and students using the following formula (agreed to by the School Executive):
 
1 laptop or desktop for all academic level A and above on teaching & research funding (excludes research only postdoctoral positions supported by group leaders)
1 laptop or desktop for all academic level B and above on research funding
1 desktop for each member of general staff where applicable (e.g. shared facilities for workshop staff)
1 desktop between 2 PhD’s / MSc
1 desktop between 3 Honours

Staff requiring an upgrade from the basic model will be required to make up the difference in cost from their own funds.   
 
Computers for research assistants, postdoctoral staff and other research staff need to be purchased from supervisors’ accounts.

Other IT equipment such as printers and faxes are not typically purchased with school funds (beyond the shared facilities). This equipment is the responsibility of the individual academic.
 
Purchasing Methods
All school purchasing of IT hardware and software must be completed via Finance. If you purchase other IT equipment through ibuy, it is your responsibility to check with BACS BITS to make sure that it is compatible with their systems and set ups.

Replacement Program
Computers will be replaced upon the expiry of the three year warranty via a rolling replacement program (administered by the IT Committee). In terms of disposal of old equipment, if machines are in good working order and there is a need, the School will consider relocating these machines for research purposes (noting that these machines are no longer under warranty). Should there still remain an excess of computers, they may be passed on to post doc students and research assistants. As a final option, unallocated excess machines may be purchased for private use.
 
Software
All School purchased computers are installed with the following software as standard:
-          Microsoft Office Suite (for PC’s and Mac’s)
-          Adobe Acrobat
-          Microsoft Outlook
-          Entourage (email for Mac’s)
-          Norton Anti Virus
 
Requests for any other software necessary for work purposes should be forwarded to the School Manager. UQ has a comprehensive range of other software available via discounted licensing arrangements. All software available through UQ can be viewed at: http://www.its.uq.edu.au/?page=52486
 
Any software requirements beyond the standard suite are provided by UQ on a cost recovery basis (ie user pays). Should the School have broad usage requirements for non standard software (ie a statistics package), it may look at funding multi-seat licenses to achieve a discounted price. In these circumstances the School may also look at covering the costs associated with the licensing of this software (rather than seeking a contribution from users). This will be assessed on a case by case basis and at the discretion of HOS.
 
Any unique/individual software requests will need to be funded by the individual user.
