Estelle Ellis departed Friday the 10 June to work at Queensland Institute of Medical Research (QIMR), based at Herston Campus.   Camie Chow has been appointed to Transition Officer (Networking).

Student Administration is pleased to welcome Nik Linnell to the position of Team Leader Student Centre. Nik commenced his role on Monday 6 June. Nik can be reached on n.linnell@uq.edu.au
 
NEW EMAIL ADDRESS – ACADEMIC FACILITIES
 
Academic Facilities has implemented a new generic email address for all staff queries with regard to timetables and teaching space to enable the fastest possible response:  teachingspace@uq.edu.au.  Please direct these requests to this new address.
 
NEW CHANGE FORM
 
Academic Facilities is shifting to a new paperless change form.  In the past all change forms received were printed, processed and filed.  With the new form we hope to waste less paper and better utilise our facilities.  This new form has been created in Word 2007, can be tabbed through to make it easier to fill out, and uses drop down menus whenever possible.  The PC version can be found through the following link:  http://www.uq.edu.au/facilities/docs/20110608%20ChangetoPublishedTimetableForm-PC.dotx
 
Please delete all older versions of Change to the Timetable Form as this is the only format on which changes will now be processed.
 
LECTOPIA
 
Following feedback received from UQ Staff, the form to request Lectopia bookings is now secure and requires a UQ Staff login to make bookings.  The login page can be accessed from:  https://survey.its.uq.edu.au/checkbox/Login.aspx?s=0f5bd809-d58e-49c0-8b01-7b3eec1958c1&redirectUrl=%2fcheckbox%2fSurvey.aspx%3fs%3d0f5bd809d58e49c08b017b3eec1958c1
 
Staff who wish to book a Lectopia recording during the first week of the semester 2, 2010 need to complete the online application and submit it by close of business July 10.  Bookings can be made after this date but we cannot guarantee that a recording will be in place for the first week of classes.

SIGN-ON SEMESTER 2 2011
 
Sign-On for Semester 2 class registrations will open to staff on the 13 June.  From this date, academic and general staff will be able to register only classes which have been included in the Semester 2 timetable on mySI-net.  In order to manage activity on the SI-net system, staff are requested not to open their classes for student Sign-On before the dates allocated for their faculty below.

GRADE UPLOAD AND RELEASE OF RESULTS FOR SEMESTER 2 2010
 
The Grade Upload function in mySI-net will be opened from Thursday, 9 June 2011 to 5:00pm on Tuesday 5 July 2011.  All results should be finalised and uploaded by 5:00pm on Tuesday 5 July.  The posting of results process performed by SI-net Functional Group will occur over 3 stages – at 5:00pm on Friday 1 July, Monday 4 July and the final posting on Tuesday 5 July. 
 
The staged process is to allocate as much time as possible for academic staff to complete examination marking, but also to accommodate those schools or faculties that require earlier grade posting, eg. for examination board meetings.  The official release of results to students will be from 6:00am on Wednesday, 6 July 2011.
 
From midnight on Thursday, 30 June until midnight on Wednesday, 6 July, the mySI-net Studies Report will be disabled for students.  Staff will be able to access the Studies Report during this period.  Student access will resume on Thursday, 7 July.
 
Reference is drawn to the email distributed to faculty and school administrative staff on 20 May 2011.
 
EXTENDED OPENING HOURS
 
The Student Centres will be open for extended hours during the examination period to accommodate examination enquiries immediately before examination start time and for a limited period after the start time for the final session on each day.  The University Health Service at St Lucia campus will also be open 9:00am to 4:00pm on Saturday 11, 18 and 25 June for exam related consultations and medical certificates only.
 
FORMS FOR USE IN SCHOOL-BASED EXAMINATIONS
 
Standard forms used in conducting central examinations can be downloaded from the Forms Online section of the Examinations staff intranet https://www.uq.edu.au/secure/sasd-bpc/?page=126853&s=c8f20acff1b9615f124632b085f4b18e for use by Schools in conducting school-based examinations. 
 
These include the Disregard Performance declaration, student ID card not current, and the Examination Supervisors Handbook (May 2011). 
 
PROCESS FOR COLLECTION OF COMPLETED EXAMINATION PAPERS
 
Course coordinators, or their delegates, are strongly encouraged to collect examination papers from the exam venue on completion of the examination.  Examination supervisors are instructed not to release exam scripts or papers to any person unless appropriate identification and/or documentation is sighted.  Further information on the process can be found on the Examinations staff intranet > https://www.uq.edu.au/secure/sasd-bpc/index.html?page=127139&pid=126855
 
SI-NET UPGRADE PROJECT
 
The SI-net Upgrade Project is currently on track for a go-live date in mid-September.  The exact date will be announced closer to the time, but the upgrade will involve a SI-net/mySI-net outage over a full weekend.
 
The Project involves a number of test moves prior to the actual go-live upgrade of the system.  Test Move 2 has just been successfully completed and a further 3 test moves will be performed before September.  The Upgrade Team will be undertaking detailed testing of the output from these test moves, commencing with the output from Test Move 2.
 
The SI-net Support Team is also involved with a number of other projects, running concurrently with the SI-net Upgrade.
·      On-Line Applications – the work required to integrate SI-net with the new On-Line Applications system is on track to be delivered by the due date for Phase 1 of the OLA Project.
·      Brisbane Universities Language Hub (BULH) – the SI-net Support Team has been working with the Faculty of Arts to improve the efficiency, and shorten the time lines, of the application process for students from Griffith and QUT wishing to study at UQ.  This work has been completed.
·      Continuing & Professional Development – the SI-net Support Team has been working on a pilot project to extend SI-net/mySI-net to support CPD activities.  The pilot project has been used to identify key issues and to configure SI-net in a flexible way, such that it can deal with CPD activities across UQ.  The first phase of the pilot project is on track for a July go-live.
·      Credit Precedence Database – the consequential work for the SI-net Support Team has yet to commence.
 
SI-NET TRAINING
 
The training schedule for June is available for enrolment via the TEDI Staff Development website. Training in SI-net Fundamentals is mandatory for any staff member who requires update or advanced access to SI-net.
 
It is hoped that the regular training facility will become available after August. A schedule for the remainder of 2011 will be circulated shortly.

AUSTRALIAN GRADUATE SURVEY
Recent UQ graduates have been invited to respond to the annual national Australian Graduate Survey.
This survey is an opportunity for students who have recently completed their studies to give feedback about the quality of their student experience. UQ uses this information to guide changes and improvements that will benefit future students. The survey results also assist employers to develop recruitment policies, and help students and their advisers make further career and/or study choices.
An email with an online link to the Australian Graduate Survey has been sent to all graduates who completed their degree programs in 2010. To encourage these graduates students to complete the survey online, they are offered a chance to win cash prizes. To ensure the University receives the best response rate possible, those students who had not yet responded online were mailed a hard copy of the survey last week.

Applications are invited from members of the general staff who have been employed at the University for at least 3 years.  The prize is awarded to the staff member who, in the opinion of the President of the UQSOPA, demonstrates the most outstanding achievements in self-development, whether of an academic or non-academic nature.
