Post-Award Processes for UQ Postdoctoral Research Fellowships and UQ Postdoctoral Fellowships for Women: A Step-by-Step Guide

1. Notification of Outcome
The Research and Innovation Division (R&ID) will issue notification of the outcome of each application, to each applicant, via email. If successful, the following documents will be forwarded to you:
  • Letter of Award from the Pro-Vice-Chancellor (Research and International)
  • UQ Acceptance of Offer form
2. Return of Documentation to R&ID

Successful applicants will be asked to complete the Acceptance of Offer and return it to R&ID as soon as possible. You will be required to nominate a start date and provide information regarding ethical clearances. Please consider the following information when completing this documention.

A note on start dates:

Please be aware that there are a number of factors to consider when selecting a start date.

i) Your Fellowship cannot commence until such time as any necessary ethical/biosafety clearances have been obtained and R&ID has copies of the certificates -  refer below for more information.

ii) Your Fellowship must commence prior to the date outlined in the Conditions of Award. For both UQ Postdoctoral Research Fellowships and UQ Postdoctoral Fellowships for Women, you may commence as soon as possible after 1 January in the commencement year. If you wish to commence after 28 February, you must request a deferral of the commencement date in writing from R&ID. A letter from yourself and your proposed UQ supervisor, outlining your request for a deferred commencement, should be forwarded to R&ID.

A note on ethics:

It is a requirement for all UQ schemes that ethical (human and animal), biosafety and other clearances, required in order to conduct the research, have been obtained from the relevant UQ committee, prior to commencement of your Fellowship. If you already hold the necessary ethical/biosafety clearances, copies of the clearance certificates should be forwarded to R&ID along with your completed Acceptance of Offer form. If ethical/biosafety clearances are not required in order to commence the project, you may instead provide written certification to R&ID that any work requiring ethical/biosafety clearances will not commence until the necessary clearances are in place.

3. Issue of Grant Record Letter

Once R&ID has received your completed Acceptance of Offer form and any details of ethics/biosafety clearances, we will issue our internal grant establishment document called the Grant Record Letter (GRL). This is an internal UQ document which will be sent to you as the Fellow, any relevant contacts from the host School/Centre/Institute, the University's Finance and Business Services and the relevant Faculty/Institute HR Officer.

4. Establishing your Appointment at UQ

The GRL issued by R&ID will include a request for the relevant Faculty/Institute HR Officer to issue a formal UQ Offer of Appointment to you. You will then be required to confirm your acceptance of the formal offer of appointment.
