 ARC Research Management System (RMS)


 

The ARC is transitioning from using GAMS for the submission of proposals, assessments and rejoinders to the use of RMS.  This commenced with Linkage Projects 2010 Round 1 in March 2009.

RMS is also to be used for preparing and submitting pre-submission eligibility issues and proposals under the ARC National Competitive Grants Program from March 2009 onwards. 

During the transition period GAMS will continue to be used for the submission of assessments and rejoinders (where applicable), for those schemes with proposals already submitted through GAMS.  This includes Australian Laureate Fellowships 2009, Future Fellowships 2009 and Discovery Projects 2010.  All Final Reports will continue to be submitted in GAMS at this stage.

Other Hints for using RMS

  • Ensure you check and update your Personal details in RMS; some of this information (e.g. employment history, qualifications) is pre-populated into the application form;
  • Save frequently. After 30mins of inactivity RMS will timeout and any unsaved data will be lost.  You will find the 'Save' button at the bottom of the page;
  • Do not use your browsers 'Back' button.  You should only use the links available in RMS to navigate through the sections.  If you do use the 'Back' button pages will not be refreshed and data will be lost;
  • You should complete the RMS application form sequentially to aid the auto-population of the later sections;
  • As you can now give multiple people edit access to your application you need to bear in mind that if multiple users are making changes to the same sections at the smae time only the changes made by the last person to save will be captured.

Q. How do I obtain a User Account for RMS?

Q. I have requested a new User Account/Password/Username Retrieval via the RMS login page however I have waited 24 hours and have have not yet received an email.  What should I do?

Please email rms@research.uq.edu.au for assistance.  Do not request a new RMS ID.

Q. I requested to reset my password but the link in the email does not work.  What should I do?

Please wait 1 hour and try using the 'Reset Password' link on the ARC RMS Homepage again.  If you are still unable to reset your password please email rms@research.uq.edu.au for assistance.

Q. How do I log into RMS?

Q. How do I locate my RMS Person ID?

Your RMS Person ID, which you will need to advise colleagues that have requested that you be involved on their application, is located at the top of the 'Details' tab of the 'Personal Details' section in RMS.  It is not your RMS User ID.

You can only be invited to participate if the proposal owner knows both your Person ID and your family name. It is expected that participation in the proposal will be discussed prior to the actual invitation being included. These measures have been put in place to ensure you are not either accidentally or deliberately involved in too many proposals and therefore become ineligible for funding.

Q. How do I create an application in RMS?
  1. Select 'Create Draft Proposal' link under the 'Proposal' section.
  2. Select the Scheme Round.  Please ensure you select the correct Scheme Round for the application you intend to submit.  The ARC Instructions for Applicants document advises you of the correct option. 
  3. Create a 'Draft Proposal Name'.  This is the not the title of your application.  It is a name that allows you to easily locate your draft proposal in a list if you are involved in multiple applications in the current funding rounds.  This name cannot be changed.  You enter the official title for your project at question A2 of the application, which can be changed prior to submission.

N.B. If you create a proposal using the incorrect Scheme Round you are currently unable to delete it.  Please advise Janine Richards at grants-manager@research.uq.edu.au of the error.

Q. How do I update my Personal Information in RMS?

Maintaining accurate personal details is important to managing your account with the ARC. You update your Personal information through the 'My Details' section.  Please ensure this information is complete and kept up to date.  The information is used to pre-populate some sections of your applications (e.g. employment history, qualifications) and also used by the ARC for statisical and assessor assignment purposes.

Q. I accidentally added an application to the wrong scheme or no longer wish to submit my application.  How do I delete it from the system?

Currently there is no functionality in RMS to allow you to delete an application.  If you do not intend to submit this application please advise Janine Richards at grants-manager@research.uq.edu.au and include the Project Identifier so that R&ID is aware that it will not be proceeding.

Q. I currently have active ARC grants however on my RMS homepage under 'Projects' it indicates I have 'You have no active projects'.  Should I be concerned?

You should not be concerned that the system indicates that you have no active projects as currently RMS does not contain this information.  Eventually RMS will be used for complete application and grant management, however at this stage many of the ongoing grant management processes are not available.

Q. When I select a question the screen greys out but I cannot enter any information?

Q. How do I add other participants to my application?

You will need to know the RMS Person ID and Surname of the person you wish to add.   Within the application form you select 'Add Person Participant'.  Be sure to select their correct role at this point as if it is incorrect currently you will need to delete them entirely to correct the error.  The person will then be listed in your application with a Participation Status of Requested.  They will receive an email requesting them to approve their inclusion the project.  As this email contains very little information on the application we suggest you complete the Proposal Title before adding any other participants.

Please note that at this stage incorrect entries can currently only be corrected by deleting the participant and re-entering all data.

Q.  I selected the incorrect role for one of my participants.  How do I correct this?

At this stage the only way you can do this is by deleting the participant from your application and then re-requesting their involvement using the correct role.  Given that you will loose any information that has been incorporated into Section F it is recommended that you create and save a PDF version of the application prior to deleting them to refer to when re-entering their information.

Q. The participants on my application are in the incorrect order.  How do I correct this?

Use the arrows under the Participants section on the first page.

Q. How do I add non-participants (e.g. administrative staff) to my application to assist with form completion?

Non-participants who you would like to assist you with completing the application form are provided with access by clicking the 'Give access to non-participant'.  You will need to know the RMS Person ID and Surname of the person you wish to add.

We encourage administrative staff that assist with applications to obtain their own RMS login information so they may be added in this way.

Q. Can I assign editing rights to other people?

Yes, you are able to allow others to edit your application within RMS.   Edit rights can be given to the participants on your proposal, and also to non-participants (e.g. administrative staff). 

To update a participant's access for this proposal:

  • Click the 'Edit access rights' link for the person.
  • Select one of:
    • 'No Access Rights' (the default) if the person is only to be able to update data relating to themselves.
    • 'Edit' if the person is to be able to update all components of the proposal.
    • 'Allocate Rights' if the person is to be able to allocate access rights for other participants and edit all areas of the proposal.
  • Click 'Save' to save the updated access rights or 'Cancel' to exit without saving.

Please note that if multiple users are making changes to the same section of the application at the same time only the changes made by the last person to save will be captured (and earlier changes may be overwritten).

Q. I cannot find my organisation in RMS.  How do I request they are added?

Please email rms@arc.gov.au  using the subject line "Add Organisation to RMS"

Please include as much information as possible, the following details are mandatory:

  • Full Legal name;
  • Email Address;
  • Postal Address;
  • ANZSIC code (please include the code and the description); and
  • ABN - for Australian Organisations.
  • Organisation Type - from one of the following:
    • Australian company Industry Body
    • Australian non-profit
    • Australian private company
    • Commonwealth Government
    • Higher Education international
    • International company industry body
    • International government
    • International non-profit
    • International private company
