 AHEGS frequently asked questions

What information appears on my Australian Higher Education Graduation Statement?

  • Section 1 –the graduate’s name and student number
  • Section 2 – the award, including the number of units and any special requirements to complete the award
  • Section 3 – awarding institution which states information on The University of Queensland
  • Section 4 – graduate’s academic achievements which includes the course code, number of units, course title, grade achieved and date completed
  • Section 5 – description of the Australian higher education system

When will I receive my AHEGS?
Graduates are provided with a complimentary AHEGS which will be received together with their testamur and academic transcript at their graduation ceremony. For those graduates who are unable to attend their ceremony (i.e. graduating in absentia), the AHEGS will be posted, with the other graduation documents, within 7 days after the completion of the graduation ceremonies. As December 2010 is the first time that the AHEGS is being provided to all UQ graduates, those conferred prior to December 2010 will not be eligible to receive an AHEGS.

What is the difference between an AHEGS and an Academic Transcript?
The Academic Transcript is a historical record of a student’s academic achievements and includes the student’s GPA. The AHEGS is a snapshot document containing specific information pertaining to an individual award and is available only upon graduation of that award. Subsequent copies of the document will contain the same information as the original.

Will all my results be recorded on my AHEGS?
Yes, just like your unofficial studies report, all results, whether passed, failed or withdrawn will be recorded on the AHEGS.

Can I request that something be added to or removed from my AHEGS?
The AHEGS is produced using a specified template, approved by the University, which meets the AHEGS guidelines set out by the Department of Education, Employment and Workplace Relations (DEEWR). Therefore it is not possible to have individual achievements added to or removed from the AHEGS.

Will my grade point average (GPA) be on my AHEGS?
A GPA will not appear on the AHEGS.

Why are some of my results missing from the AHEGS?
The AHEGS will display any enrolment and associated result that was recorded against a particular program or award. If a student receives credit for courses undertaken in a previous program at UQ or from another institution, the results for those courses will not be on the AHEGS. A reference will be included to direct the reader to the appropriate academic transcript for any results not included on the AHEGS.

What do I do if there is an error on my AHEGS?
Every effort is made to ensure that your AHEGS is correct and true. However, if you find that there is an error, such as a misprint or missing information, please send your query to UQ Answers. (You will be required to return your original AHEGS before receiving a replacement.)

I'm graduating from a combined degree program. Will I receive two AHEGS?
Graduates will receive an AHEGS for each award they receive. This means that graduates of a combined program leading to two eligible awards will receive two AHEGS. Can I buy additional copies of my AHEGS? Additional copies of an AHEGS will be available for purchase from Student Administration. The cost is:

  • Replacement AHEGS produced in 5 hours $25
  • Replacement AHEGS produced in 3-5 working days $15

Copies of the AHEGS will not be available until after the award is conferred.

I received a University Medal after I graduated. Can it be included on my AHEGS?
University Medals are awarded after graduation. If you are awarded a University Medal you will be supplied with a new AHEGS once the Medal had been issued.
