Please book as far in advance as possible. Non UQ visitors may book up to 12 months in advance and you are encouraged to book for the following year before you leave the station.

Heron Island is a remote island with limited access.  We strongly recommend you purchase travel insurance, particularly if you are a large group or have connecting flights.

Please notify us immediately if there are any changes to your bookings.

Staff assistance is available from 8 am to 4 pm. If you require assistance outside those hours, please indicate on your booking form. Charges will apply.

Steps to booking at HIRS

UQ Clients:

  • Contact the Station via email (hirs@uq.edu.au), fax (+61 7 4972 4173) or phone (+61 7 4978 1399) to check dates and facilities are available.
  • Download and complete the Booking Application Form (please right click on link and 'Save As', completing the form from within the browser can corrupt the file) and email to Station. Forms work best in Adobe Reader (which can be downloaded, if required). Please do not complete the form in Mac Preview. Electronically completed forms can be processed faster than printed forms.
  • Education and Conference groups - â€‹complete a catamaran manifest form to allow for faster processing of your booking.
  • A completed RISQ (Requisition for Internal Services Quote) is required to accompany a booking; the first completed RISQ form received will have booking preferences.
  • UQ research students must include the Account Holder's name (usually Supervisory) on the booking form.
  • If you wish to hire a caterer, please contact them as soon as possible.

Non-UQ Clients:

Electronically completed forms can be processed faster than printed forms. This can be done before the deposit is paid – please do not wait for the deposit to be paid.
  • Education and Conference groups - â€‹complete a catamaran manifest form to allow for faster processing of your booking.
  • Non-UQ groups must confirm their reservation with a deposit. The first deposit received will be given booking preference. Please advise amount of deposit (minimum 10% of accommodation costs, non-refundable) and we will raise an invoice for you. Please do not send any deposit unless you have received an official invoice.
  • The first deposit received will receive booking preferences.
  • If you wish to hire a caterer, please contact them as soon as possible.

Note: If your total amount is going to be under $500AUD we require payment up front in full.

Important notes:

  • All use of the Station falls under the HIRS Terms and Conditions of Use.
  • All bookings are tentative until a deposit is received. 
  • Cancellation of a booking will result in the forfeiture of the deposit, or penalty fees.
  • Visitors must be at least 15 years old.
  • The University of Queensland is a workplace. Family members are not permitted at the Research Station but Station staff can assist with alternative accommodation for families. 
  • Please read the Heron Island Research Station Alcohol Policy if you wish to consume alcohol on the Station. You will need to complete a Permission to Keep or Consume Intoxicating Liquor on Site if you wish to do so.
  • Credit card details can be phoned or faxed. Please do not send details in an email or attachment.
  • Permits for research, teaching or commercial filming must be obtained well in advance of your arrival on the island and a copy supplied with your booking form. See Permits for detailed information.
