 Eligibility to graduate


Students' eligibility to graduate is determined by their Faculty or School.

The process begins in April or September (for Semester 1 or Semester 2 respectively) when potential graduates are identified. Providing you remain active in your UQ program (even if you are not enrolled in any courses at UQ) you will be sent an email to your student email account after you are identified as a potential graduate. The emails start being sent in May and October.

If your Faculty or School determine you are expected to complete your program requirements at the end of the current semester, you will receive another email advising you of this and asking you to complete an online Conditional Grad Application form via mySI-net, in June for those completing in first semester while in November for those completing in second semester. You will be able to continue to monitor your graduation status, and class of honours (if applicable) via mySI-net. If you are not enrolled, or cannot access mySI-net, you will be sent a paper copy of this form.

If you indicate on your Conditional Grad Application form that you will attend a graduation ceremony, you will also have to organise Academic Dress Hire.

If you believe you will be eligible to graduate and do not have access to the on line form and have not received the paper application form by the end of June (for first semester) or November (for second semester), please contact Graduations Section.

In order to be eligible to graduate, students must complete all the requirements for their program: 

Undergraduate and Postgraduate Coursework programs
In order to be eligible to graduate, students in undergraduate and postgraduate coursework programs (including Professional Doctorates) must complete the program requirements as specified in the Program Rules and General Award Rules.

All requirements for completion of the program must be completed no later than two weeks prior to the date of your ceremony. All examination results must be ratified by a Board of Examiners meeting and your eligibility to graduate confirmed by your Faculty or School before completion of the program is official. If you have any doubts about your eligibility to graduate, please check with your Faculty or School Office.

If you are completing your degree through Cross-Institutional Study, you must submit an original copy of your academic transcript from the other institution(s) to your Facuilty or School Office at The University of Queensland no later than one week prior to the date of your ceremony.

Students in dual degree programs must complete the requirements for both degrees in order to graduate except where the program rules specify otherwise (eg, most Bachelor of Laws dual degree programs).

Students who are going to enrol in an Honours year (eg, Bachelor of Arts (Honours), Bachelor of Science (Honours), etc) will graduate from their undergraduate (pass) degree program and then graduate again from the honours program.

Postgraduate coursework students enrolled in a suite of programs who wish to graduate with a lesser award (eg, students enrolled in a Masters program who wish to graduate from the Graduate Certificate) must advise their Faculty or School Office of their intentions no later than one week prior to the scheduled date of the appropriate ceremony.

If all the requirements for your award have not been completed by one week prior to your scheduled ceremony, you will be notified in writing that your graduation has been transferred to the next round of graduation ceremonies.

Students who have to take Special or Supplementary Examinations will not be eligible to graduate until the next round of ceremonies following the examinations. For example, students who have to take Special Exams following Semester 2, 2009 will graduate at the July 2010 ceremonies.

Research Higher Degree Programs (PhD, MPhil, etc)
In order to be eligible to graduate, candidates for research higher degree programs must complete the program requirements as set out in Part 4 of the General Award Rules.

Conferral of the award will only be confirmed by the Senior Deputy Vice-Chancellor after the corrected copies of the thesis have been submitted for binding.  While this can take place at any time, many candidates find that if confirmation ocurrs within one week of their scheduled graduation ceremony they have insufficient time to arrange their participation in the ceremony.

If confirmation ocurrs within one week of the candidate's ceremony, Graduations will include their name in the ceremony list, mail them their certificate after the ceremonies conclude and send them information about the following round of ceremonies.
