Standard Terms and Conditions of Candidature


When the Dean, UQ Graduate School, approves admission to candidature, a number of terms and conditions are set. Every candidate is required to:

1. Initiate and maintain an accurate student record. This includes logging into mySI-net at the beginning of candidature and at least once each semester, entering all outstanding student data, checking that your enrolment details are correct, and paying all student charges and fees by the due dates. Online help for completing these activities is available on the myAdvisor website (http://www.uq.edu.au/myadvisor/). If you do not know your username or password, contact Information Technology Services (ITS) at help@its.uq.edu.au.

2. Commence your research studies on the date you specified on your Application for Admission and Enrolment. If that date has passed before you receive this Notice of Admission, you have already been enrolled as a candidate.

3. Provide progress reports (and such other information as may be required from time to time by the Dean, UQ Graduate School) to your advisor, school, and the University. The annual progress report is issued in May to active candidates who were enrolled in their research program for at least three of the previous twelve months. A follow-up progress report is issued in November if potential or actual problems are identified in the annual progress report. Other reports may also be required from time to time.

4. Regularly access your student e-mail address and read all official University e-mails. All official University email is sent to your UQ student account, including library notices and fees reminders. If you prefer to use a different email account, please follow the instructions at http://askit.uq.edu.au/itanswers/email/emailredirect.html to forward email automatically from your UQ account to your preferred account. If you do not know your username or password, contact Information Technology Services (ITS) at help@its.uq.edu.au.

5. Comply with the University's rules and policies as set out on this website (http://www.uq.edu.au/grad-school/) and elsewhere on the University's website, along with any subsequent amendments approved by the Senate or the Academic Board from time to time.  Candidates should pay close attention to the policies on the University's Handbook of University Policies and Procedures (HUPP), in particular policies 3.40.12 Academic Integrity and Plagiarism and 4.20.2 Procedures for the Conduct of Research.

6. Remain enrolled continuously for as long as you are undertaking your research program. To interrupt your candidature or withdraw from it you must seek and obtain specific written approval from the Dean, UQ Graduate School using the Change of Candidature Status Form (http://www.uq.edu.au/grad-school/candidature-forms).

7. Enrol in no other program. To enrol in any other program you must seek and obtain specific written approval from the Dean, UQ Graduate School, using the Application for Concurrent Enrolment (http://www.uq.edu.au/grad-school/candidature-forms).

8. Seek approval for any amendment or change to the terms of your candidature using the Change of Candidature Status Form or other such forms as are available and appropriate (http://www.uq.edu.au/grad-school/candidature-forms).

9. Attend seminars and conferences as required by your advisor or postgraduate coordinator.

In addition, every provisional candidate is required to undergo conversion from provisional to confirmed status (confirmation of candidature), after 6 months full-time equivalent in the MPhil or 12 months full-time equivalent in the PhD. Confirmation of candidature is a critically important moment in every research higher degree candidature for the academic development of the candidate, reviewing resources for the school, and quality assurance for the University. The confirmation of candidature process consists of four components: a formally presented written document, an oral presentation, interviews with you and your principal advisor, and written feedback to you and your advisory team. Your principal advisor and postgraduate coordinator will advise you in detail on the specific school requirements for confirmation of candidature.
