What is PACS?
The Postgraduate Academic Conference Scheme (PACS) is funded by the UQ Graduate School to encourage and support UQ PhD and MPhil candidates who want to organise their own conferences. (Please note, PACS does not fund participation or attendance at conferences.)
The UQ Graduate School (UQGS) acknowledges the importance of organising postgraduate student conferences in providing opportunities for students to:
- gain experience in writing and presenting conference papers,
- network with other graduate students working in similar fields, and from different Universities,
- acquire administrative/organisational experience in staging a conference,
- demonstrate and disseminate research excellence from UQ,
- recognise UQ's commitment to providing a superior research graduate student experience,
- gain experience in application writing and seeking funds.
UQGS encourages applicants to use the PACS funding to match contributions from their School and to leverage additional funding from external sources. Three levels of financial support are offered by UQGS:
Level 1. up to $600.00
Conferences marketed on a local level for postgraduate students from UQ and other Queensland universities.
Level 2. up to $1100.00
Conferences marketed on a national level and with a significant number of presenters and postgraduate students from other universities beyond Queensland.
Level 3. up to $1500.00
Conferences marketed on an international level and with a significant number of presenters and postgraduate students from universities beyond Australia.
POSTGRADUATE CONFERENCES AND EVENTS
What can the funding be used for?
- stationery,
- room-hire/venue fees,
- advertising (including publicity posters),
- special guests (please provide details for why this guest would benefit a postgraduate conference),
- audiovisual rentals.
The funding is NOT intended for:
- catering or drinks,
- reimbursing accommodation or travel expenses for delegates,
- 'normal' departmental expenses such as phone/fax, basic photocopying needs,
- cash prizes.
Application Requirements - Applications should include:
1. Confirmation that the conference is organised primarily by postgraduate students for postgraduate students.
2. Evidence that the conference is open, and publicised, to students from universities and institutions other than UQ.
3. An official letter (from your Head of Department or School, or Faculty Executive Officer) confirming the contribution from the Department, School, Faculty or external party should accompany your application.
4. Budget estimates, including how the contribution from The Graduate School will be spent.
Applications must be received at least TWO (2) MONTHS before the conference to allow time for processing and assessment
Applications are assessed by the Dean of the UQ Graduate School.

How is the funding paid?
Funding payments made directly to Schools or Institutes should include the contact details of the Finance Officer with your application and arrangement for an Internal Services Charge (ISC) can be made.
Funding payments for external Associations/Societys will need to include a Tax Invoice with the application.

Room Bookings:
The University's teaching and learning space is first and foremost for University teaching and learning purposes.
However, to facilitate the enrichment of the life of the University community and to satisfy student recruitment and community service objectives, teaching and learning space is made available when possible for academic seminars, conferences, student activities, and community and commercial events.
There is no cost for the hire of a room if a Faculty, School or Centre books the room and where the event relates directly to University business, or to Student Groups affiliated with the UQ Union.
For internal events, where a registration or entrance fee is being charged, a fee of 50% of the full hire fee will be applied. All outside organisations are required to pay the full hire fee. An "Application for Hire of Lecture Room" form needs to be completed. Please contact Academic Facilities to discuss further any enquiries you may have about booking centrally managed teaching rooms or go to the Academic Facilities Room Information Website.
